Privacy Policy

TaskRelay (“we,” “us,” “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information through www.TaskRelay.ca (the “Site”) and our staffing services. It applies to Candidates, Clients, and general visitors.

This policy is designed to comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, provincial privacy legislation such as Quebec’s Law 25.

1. Information We Collect

Information you give us directly:

  • Name, email address, phone number, and mailing address
  • Resume, work history, education, certifications, and references
  • Government-issued identification or work-eligibility documents, where required for a specific role
  • Interview notes and assessment results
  • Information submitted through contact forms or when you call our branch offices
  • For Clients: company name, hiring contact details, and job requirements

Information collected automatically:

  • IP address, browser type, and device information
  • Pages visited, time spent on the Site, and referring URLs
  • Cookies and similar tracking technologies (see Section 6)

Information from third parties:

  • Background check or reference check results, where you’ve consented to these checks
  • Information from job boards or referral partners, if you applied through one of those channels

2. Why We Collect and Use Your Information

We use personal information to:

  • Match Candidates with suitable job opportunities and share relevant profiles with prospective Clients
  • Verify identity, eligibility to work, and qualifications
  • Communicate with you about applications, interviews, and placements
  • Process payroll and remittances for placed employees, where applicable
  • Improve and maintain the Site’s functionality and security
  • Comply with legal, regulatory, and employment-standards obligations
  • Send you service-related updates, and — only with your consent — marketing communications about new opportunities

We do not use your personal information for purposes unrelated to staffing and recruitment without first obtaining your consent.

3. Legal Basis for Processing

Under PIPEDA, we collect, use, and disclose personal information only with your knowledge and consent, except where permitted or required by law (for example, to comply with a court order or investigate suspected fraud). Consent may be express (e.g., ticking a box) or implied by the nature of your interaction with us (e.g., submitting a resume implies consent for us to share it with prospective employers).

4. Who We Share Information With

  • Prospective Clients/Employers: We share Candidate profiles, resumes, and relevant qualifications with Clients actively hiring for a matching role.
  • Service providers: We may share information with vendors who support our operations (e.g., payroll processors, background-check providers, IT hosting providers), bound by confidentiality obligations.
  • Legal and regulatory bodies: Where required by law, court order, or to protect our rights or the safety of others.
  • Business transfers: If [Your Company Name] is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to equivalent privacy protections.

We do not sell personal information to third parties for their own marketing purposes.

5. Data Storage and Security

We store personal information on secure servers located in Canada and use reasonable administrative, technical, and physical safeguards to protect it against unauthorized access, loss, or misuse — including access controls, encryption where appropriate, and staff training. No system is completely secure, and we cannot guarantee absolute security of information transmitted over the internet.

6. Cookies and Tracking

The Site uses cookies and similar technologies to remember your preferences, understand how visitors use the Site, and improve performance. You can control cookies through your browser settings; disabling cookies may limit some Site functionality. We do use third-party analytics tools such as Google Analytics and others.

7. Data Retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy, or as required by law. Candidate profiles that have been inactive for 2 years, may be archived or deleted, unless you ask us to retain them longer.

8. Your Rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Withdraw consent to certain uses of your information (e.g., marketing emails), subject to legal or contractual restrictions
  • Request deletion of your Candidate profile and associated data
  • File a complaint with us, or with the Office of the Privacy Commissioner of Canada, if you believe we have mishandled your personal information

9. Children’s Privacy

The Site is not intended for individuals under the age of 16, and we do not knowingly collect personal information from children. If you believe a minor has provided us with personal information, please contact us so we can remove it.

10. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. Material changes will be communicated through a notice on the Site or by email where appropriate.
